Policies - Progressive Directions, Inc.

INCLEMENT WEATHER
Extracted from employee handbook below:

It is the policy of Progressive Directions, Inc. that special procedures will be followed in the case of local school systems being closed due to weather conditions in any county within our catchment area to ensure the safety of our individuals and staff.

When local school systems are closed due to weather conditions in any county within our catchment area the PDI site in that county will not open until 9:00 a.m. However the staff will be expected to arrive as soon as it is safe to do so.

  1. If staff does not arrive by 9:00 a.m., the use of annual leave will be allowed only if staff has contacted their supervisor to explain circumstances surrounding their inability to get to work.
  2. If staff is unable to be present at work, they will be assessed a full 8 hours of annual leave unless the Executive Director calls for an emergency closing of the agency.

All agency transportation will be cancelled on these days unless the Executive Director deems the roads safe. This does not mean that the centers will be closed it only means that transportation services will not operate on their regular schedule.

  1. Parents/Guardians may transport individuals/children to and from agency workshops and Early Intervention Centers on the days the local school systems are closed.
  2. Parents/Guardians are expected to pick up individuals/children at the time specified when they were dropped off. If no specification was made and the parent/guardian was not contacted then the center will close at the normally scheduled time and individuals/children should be picked up at that time.
  3. PDI staff will remind all parents/guardians of the uncertainty of the weather conditions and verify that they have a number where they can contact the parent/guardian during the day in the event that weather conditions worsen.
  4. Upon the decision of the Executive Director to close the facilities early, parents/ guardians will be contacted by agency personnel informing them of that day’s pick-up time.

By 1:00 p.m. the Executive Director will make a final determination in projecting the safety of the roads at 3:00 p.m. If in his estimation the roads will be unsafe at 3:00 p.m. he will announce by 1:00 p.m. that the center will close.

Staffs who have been assigned to alternate residential locations are expected to report to those residential sites. If, due to weather conditions, staff are unable to report to the residential site to which they have been assigned, it is their responsibility to contact their supervisor

Staffs who are scheduled to report to the workshop will utilize days when no individuals come to the center as training and in-service days.

Staffs who have reported to the workshop may be redirected to the residential facilities if the staff scheduled to cover the residential consumers are unable to get to the residential sites.

Personnel working on Ft. Campbell janitorial contracts will adhere to the following:

  1. If road conditions are considered to be unsafe for travel the Contracts Manager will call the Ft. Campbell Custodial Inspector for an advisement as to the road conditions there and the possibility to cancel janitorial activities that night.
  2. The Contracts Manager will advise the Executive Director of the Ft. Campbell response for his final decision as to the actions to be taken by the cleaning team not later than 11:30 a.m. on the day of the inclement weather.
  3. If the team is dispatched for normal duties and the weather begins to worsen the Custodial Supervisor has the authority to cancel activities at any time in order to ensure the safety of individuals and staff. If job areas have not been completed the Contracts Manager will be notified as soon as possible of when the work stopped and areas not completed.

8. Personnel working at Kid’s Depot will adhere to following: Since Kid’s Depot is a private pay service, they will only close under extreme circumstances. All efforts are made to abide by normal hours of operation, but in the event of extreme weather the childcare may open late or have to close early. Parents are instructed to call Kid’s Depot where there will be recording as to changes in hours of operation. This information will be available by 6:00 am. If we must close early, parents will receive a one-hour notice that the preschool is closing early.

The Executive Director, with advisement by the Contracts Manager, will make the decision by 1:00 p.m. on the day of inclement weather as to whether job activities will take place that evening.

The Executive Director or his/her designee will contact the Middle Tennessee Regional Office to inform and seek advisement pertaining to the closing of the agency.
